AI Usage Policy
This policy explains how Ekon Labs integrates artificial intelligence into our products and services, the limitations of AI-generated outputs, and your responsibilities as a user of AI-powered features.

1. Overview
Ekon Labs builds AI-powered software solutions for businesses. Artificial intelligence is a core component of many of our products, including automation agents, CRM intelligence, content generation tools, and business process automation systems.
We are committed to deploying AI responsibly, transparently, and in alignment with applicable regulations including the EU AI Act, GDPR, and Spanish law. This policy applies to all AI features across all current and future Ekon Labs products and services.
2. How We Use AI
AI is integrated into our products in the following ways:
Automated Communications
AI-drafted emails, follow-ups, and client communications within CRM systems.
Content Generation
AI-generated marketing copy, social media posts, property descriptions, and business documents.
Business Process Automation
Intelligent workflow automation that processes data, triggers actions, and routes tasks.
Data Analysis & Insights
AI-powered analytics that identify patterns, trends, and business opportunities.
Lead Scoring & Qualification
Automated assessment of leads based on behaviour, engagement, and profile data.
Customer Support Assistance

3. AI Model Providers
Ekon Labs may use one or more trusted AI providers, including but not limited to OpenAI, Anthropic, Google, and other providers as our services evolve. Each provider processes data in accordance with their own terms of service and privacy policies. The specific providers in use may change over time as we adopt new technologies or as our service requirements develop.

This list is illustrative and not exhaustive. We select AI providers that offer data processing agreements compatible with GDPR requirements and, where available, EU-based data processing options.
4. Human Review
Ekon Labs operates both supervised AI workflows, where human review is part of the process, and fully automated workflows, where AI outputs are acted upon without individual manual review. Our approach to oversight depends on the context, risk level, and configuration of each AI application:
AI outputs used in legal, financial, or contractual contexts must be reviewed and approved by a qualified human before use.
Where workflows are configured with human oversight, AI-generated outputs are reviewed by the responsible team member or customer before being acted upon.
Fully automated workflows are designed with safeguards, monitoring, and defined operating parameters. Anomalies or threshold breaches trigger alerts and human review.

Users are solely responsible for verifying AI-generated outputs before acting upon them. Ekon Labs shall not be liable for decisions made based on unverified AI outputs.
6. Data Processing in AI Features
When you use AI-powered features, the data you input (prompts, documents, business data) may be transmitted to our AI model providers for processing. We take the following measures to protect your data:
- Data is transmitted over encrypted connections (TLS 1.3)
- We use API access rather than consumer products, which typically offers stronger data protection terms
- We do not use your data to train AI models without your explicit consent
- We minimise the personal data included in AI prompts where possible
- Data processing agreements are in place with all AI model providers

7. Prompt & Output Storage
We may store AI prompts and outputs for the following purposes:
- Providing conversation history and context within our applications
- Debugging and quality assurance
- Compliance and audit requirements
- Service improvement (only with your explicit consent)
Prompts and outputs are retained only for as long as necessary to provide the service, maintain security, and comply with applicable legal obligations. Where customers choose to retain conversation history within a product, data is retained in accordance with the applicable product settings and data retention configuration. You may request deletion of your prompt history at any time by contacting service@ekon-labs.com.
8. Customer Responsibility
As a user of our AI-powered features, you are responsible for:
- Reviewing and validating all AI-generated content before use or publication
- Ensuring AI-generated communications comply with applicable laws and regulations
- Not submitting sensitive personal data (health, financial, biometric) to AI features unless explicitly supported
- Not using AI features to generate illegal, harmful, or deceptive content
- Obtaining necessary consents before processing third-party personal data through AI features
- Complying with our Acceptable Use Policy

AI-powered features may evolve, be modified, or be withdrawn. We will endeavour to provide reasonable notice of material changes where possible.
Output Variation
AI outputs may differ between model versions, providers, or over time. We do not guarantee that outputs will remain consistent across updates.
11. Ownership of AI-Generated Content
The following principles apply to ownership of content created through our AI-powered features:
Customer Content
Customers retain ownership of the content they submit to and generate through our platforms, subject to applicable law and the terms of any relevant third-party AI provider. By submitting content, you grant Ekon Labs the limited rights necessary to provide the service.
Ekon Labs Intellectual Property
Ekon Labs retains ownership of its software, platforms, systems, interfaces, and all associated intellectual property. Nothing in this policy transfers any rights in our technology to you.
Third-Party Provider Terms
The ownership and permitted use of AI-generated content may also be subject to the terms of the underlying AI model provider. Customers are responsible for reviewing the applicable provider terms where relevant to their use case.
12. Changes to This Policy
The AI landscape evolves rapidly. We will update this policy as our AI capabilities, providers, and applicable regulations change. Material changes will be communicated via email or prominent notice on our website.
